Kaiho ("Kaiho," "we," "us," or "our") values your privacy. This Privacy Policy explains how we collect, use, store, share, and protect your information when you use Kaiho, including our website, applications, AI-assisted simulations, structured learning features, mentor tools, notebooks, whiteboards, and related services (collectively, the "Service").
Kaiho provides the Service under the Kaiho name and can be contacted through the support channel listed below.
By using Kaiho, you acknowledge the practices described in this Privacy Policy.
1. Scope of This Policy
This Privacy Policy applies to personal data we collect through Kaiho, including when you:
- create or use an account;
- interact with AI-powered features;
- upload files or source materials;
- use notebooks, whiteboards, or workspace tools;
- contact us;
- purchase or use paid features, subscriptions, or credits; and
- access Kaiho from any country or region.
2. Age Restriction
Kaiho is intended only for users who are 18 years of age or older.
By using Kaiho, you represent that you are at least 18 years old. Kaiho is not intended for children or minors under 18.
3. Information We Collect
A. Account Information
When you create or manage an account, we may collect:
- your name;
- your email address;
- your profile photo; and
- your account identifier and authentication-related information.
B. Content You Provide
We may collect and store content you submit through Kaiho, including:
- prompts and inputs you send to AI features;
- mentor chat messages and conversation history;
- uploaded files, documents, and source materials;
- notebook, whiteboard, and workspace content; and
- notes, written responses, and other learning materials you create.
C. Learning and Usage Data
We may collect information about how you use Kaiho, including:
- course, lesson, or simulation activity;
- progress, attempts, mastery, and completion signals;
- interaction history with learning tools; and
- service preferences and settings.
D. Device and Technical Information
We may collect technical information such as:
- IP address;
- browser type and version;
- device type;
- operating system;
- language and time zone settings; and
- log data, diagnostics, crash reports, and error data.
E. Payment and Billing Information
For paid subscriptions, credits, or other paid features, we may collect or receive:
- billing name and billing contact information;
- subscription plan details;
- transaction records;
- payment status; and
- limited payment-related metadata from payment processors.
Kaiho does not intend to store full payment card details directly unless we explicitly say otherwise. Payment processing may be handled by third-party providers.
F. Analytics Information
We may collect analytics and product usage data to understand how Kaiho is used and improved. This may include normalized page routes, feature actions, referral and campaign information, broad device and browser information, performance measurements, error diagnostics, authentication state, subscription tier, and learning-flow outcomes such as whether a generation, lesson, checkpoint, or simulation started, completed, or failed. Kaiho uses PostHog for product analytics and Google Analytics for website and product measurement.
4. How We Use Your Information
We may use your information to:
- create and manage your account;
- provide simulations, mentor support, learning tools, and related functionality;
- process prompts, uploads, and workspace content;
- generate AI-assisted outputs and learning experiences;
- personalize and improve the Service;
- save your history, notebooks, and progress;
- process subscriptions, credits, and payments;
- monitor performance, fix bugs, and maintain security;
- detect abuse, fraud, misuse, or violations of our Terms; and
- communicate with you about your account, support, service updates, and important notices.
5. AI Features and AI Processing
Kaiho includes AI-powered features such as mentor guidance, AI-assisted simulations, structured learning assistance, and related tools.
When you use these features, Kaiho may process:
- your prompts and messages;
- uploaded files and source materials;
- relevant notebook, whiteboard, or learning content; and
- related contextual information needed to generate outputs.
Kaiho may share this information with third-party AI service providers for the purpose of generating responses, features, or outputs.
Kaiho may also use service data internally to maintain, improve, secure, support, and develop the Service. Where reasonably possible, Kaiho aims to use aggregated, de-identified, or anonymized data for internal analysis and product improvement rather than relying on directly identifiable data when that is not necessary.
6. Analytics and Cookies
Kaiho may use cookies, local storage, and similar technologies to keep you signed in, remember preferences, support core site functionality, and understand product usage.
Kaiho uses PostHog and Google Analytics to understand product usage, measure acquisition and feature adoption, analyze learning and checkout funnels, diagnose failed or slow flows, and identify places where the product can be improved. Both services receive bounded event metadata. PostHog may also receive a pseudonymous internal account identifier for signed-in cohort analysis. Kaiho does not send that account identifier to Google Analytics. Google Analytics may create a browser client identifier in a first-party cookie and may process device, browser, approximate location, referral, and session information as part of its standard measurement.
Kaiho's analytics events are designed not to include raw prompts, mentor messages, learner answers, notebook or whiteboard content, uploaded document contents, passwords, authentication tokens, full payment card details, or raw AI provider request and response bodies. Kaiho's explicit analytics routes are recorded without query strings or fragments, and record identifiers in supported course, lesson, community, and admin routes are replaced with route patterns before those events are sent. Error events may include a bounded error type, status, reason code, performance timing, or similar diagnostic metadata.
PostHog session replay and generic page-element autocapture are currently disabled. Kaiho collects explicit product events, normalized page views, browser performance measurements, and browser exceptions instead. Google advertising signals and ad-personalization signals are disabled in Kaiho's Google Analytics tag configuration. Kaiho does not currently use these analytics tools for cross-context behavioral advertising and does not sell personal data.
You can limit analytics cookies or requests through your browser's cookie, tracking-protection, or site-data controls. Blocking analytics may reduce the accuracy of our product measurements but should not prevent core learning features from working. Some local storage and cookies remain necessary for sign-in, security, preferences, and other core Service functions.
6A. Learning Research and Your Participation
Kaiho exists because we believe learning can be dramatically better than it is today, and we want to prove it, honestly, with real evidence rather than marketing claims. To do that, we study whether our guided-learning experience actually helps people understand difficult ideas more deeply.
Taking part is entirely optional and opt-in. We will never enroll you automatically. When you create your account you can choose to join the study, and you can change your mind at any time from Settings → Learning Preferences. Choosing not to participate, or opting out later, never changes your lessons, your access, or your experience in any way.
If you opt in, some guided-learning sessions may include a couple of brief understanding check-ins woven naturally into the conversation. Your responses are used only as research to understand and improve how people learn. When we analyze or share findings, the data is de-identified: we replace direct account identifiers with a salted, non-reversible derivative, and research outputs do not include your name, email, or raw account identifiers.
We treat this as a responsibility, not a formality. Every learner who takes part is helping the next person learn something they once found impossible, and we are committed to honoring that by doing this research carefully, transparently, and without ever pressuring anyone to join.
8. No Sale of Personal Data
Kaiho does not sell your personal data to third parties.
We may share personal data with third-party service providers only when that sharing is reasonably necessary to operate, maintain, secure, improve, support, or deliver the Service, including for hosting, authentication, analytics, payments, communications, storage, and AI processing.
Kaiho aims to take a privacy-first approach as the product grows. This includes working toward data minimization, responsible retention, and using aggregated, de-identified, or anonymized data where reasonably possible for internal analysis and improvement.
9. International Use and Cross-Border Processing
Kaiho is operated from India, but users may access the Service from multiple countries.
Your information may be processed, stored, or accessed in countries other than your own, including by service providers and technology partners that support Kaiho. These countries may have data protection laws different from those in your jurisdiction.
By using Kaiho, you understand that your information may be transferred and processed across borders as necessary to operate the Service.
10. Data Retention
We retain personal data for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide and maintain the Service, preserve account history, learning records, and workspace functionality, comply with legal, tax, accounting, and regulatory obligations, resolve disputes, enforce agreements, and detect and prevent fraud or abuse.
Retention periods may vary depending on the type of data and the reason it was collected.
Even after deletion requests or account closure, some information may be retained for backups, legal compliance, fraud prevention, security, billing, dispute resolution, or technical reasons for a limited or required period.
11. Account Deletion and Your Choices
You may have the ability to delete your account through Kaiho's account controls.
You may also contact us to request access, correction, or deletion of certain personal data, subject to legal and operational limitations.
Depending on your jurisdiction, you may have rights relating to:
- access to your personal data;
- correction of inaccurate data;
- deletion of certain data;
- withdrawal of consent where applicable;
- objection or restriction in certain cases; and
- portability of certain data where applicable.
Kaiho may need to retain some data where required for legal, security, billing, fraud-prevention, or operational reasons.
You can also use browser controls to limit analytics cookies and requests. For questions or requests concerning analytics data associated with your account, contact us using the details in Section 15. Browser-generated or aggregated analytics may not always be reasonably linkable back to an individual account.
12. Security and Privacy Commitments
Kaiho uses reasonable administrative, technical, and organizational measures designed to protect personal data from unauthorized access, loss, misuse, alteration, or disclosure.
We also aim to make privacy a high-priority part of how Kaiho is built and improved. That includes working toward thoughtful data handling, minimizing unnecessary collection when reasonably possible, and preferring aggregated, de-identified, or anonymized analysis where it can achieve the same purpose.
However, no method of transmission over the internet or method of electronic storage is completely secure, and Kaiho cannot guarantee absolute security.
13. Third-Party Services and Links
Kaiho may integrate with or link to third-party services. Their privacy practices are governed by their own policies, not this Privacy Policy.
We encourage you to review the privacy policies of third-party services you use in connection with Kaiho.
14. Changes to This Privacy Policy
Kaiho may update this Privacy Policy from time to time.
If we make material changes, we may provide notice by updating the date above, posting a notice in the Service, emailing users, or by other reasonable means.
Your continued use of Kaiho after changes become effective means you accept the revised Privacy Policy.

Kaiho offers subscriptions, credits, add-ons, and other paid features. We process billing and subscription-related data and may share payment-related information with third-party payment processors and financial service providers.
Billing and transaction data may be retained for accounting, fraud prevention, tax, legal compliance, and support purposes.
